Template: Search/Apply Function

The Template Search/Apply Function is completed from inside a case when an Individual Plan for Employment (IPE), IPE Change or a Non-IPE Service Worksheet is displayed on the screen. This function allows you to search for Templates by Template Type and Template Name as well as by SOC Code, Employment Goal, SE Goal, Service Options, Authorization Type, Service Provider and Start Date of Service. Once found, the Template may be applied to the IPE, IPE Change or Non-IPE Service Worksheet.

Note: Multiple templates may be applied to the document.

To search for a template from within a case with IPE Original, IPE Change or Non-IPE Service Worksheet on screen:

Enter: IPE/IPE Change Date*

Click: Case Process

Point: Templates

Click: Search/Apply Template

*Note: Date must be entered or error message is received.

The Search Templates window displays. The Template Type defaults to User and the User Name defaults to the user signed on to CaMS.

An entry must be made in Template Name before the search can begin. Other fields may be completed, as appropriate. The search will result in a list of templates that contain the information entered.

To complete information for Search Templates function:

Template Type Required. Defaults to User. To search for all Template Types, click: Statewide checkbox, District Office checkbox and leave User checkbox as checked. To narrow the search to a specific Template Type, click appropriate checkbox: Statewide, District Office and/or User. To remove the checkmark from a Template Type checkbox, click the checkbox.
User Name Defaults to name of user that is signed on to CaMS. Becomes disabled if User checkbox (Template Type) is deselected.
Template Name

Required. Enter name of template or use wild card character (*), as appropriate. The wild card character is useful, if the Template Name is not known or only part of the name is known. The wild card character may be used in any of the following ways:

*characters (lists those templates whose name begins with any characters and ends with the characters entered.)

characters* (lists those templates whose name begins with the characters entered and ends with any characters.)

*characters* (lists those templates whose name begins with any characters, contains the characters entered and ends with any characters.)

*(lists all templates for the designated Template Type).

SOC Code Optional. Enter or select SOC code if searching for templates that contain a specific SOC code.
Employment Goal

Optional. Enter Employment Goal if searching for templates that contain a specific Employment Goal. The wild card name may be used in the Employment Goal field in any of the following ways:

SE Goal Optional. Enter checkmark in SE Goal checkbox if searching for templates that contain a Supported Employment goal.
Service Options Optional. Enter a checkmark in appropriate Service Option(s) checkbox(s) if searching for templates that contain a specific Service Option(s).
Authorization Type Optional. Select Authorization Type from drop down list if searching for templates that contain a service for specified Authorization Type.
Service Provider Optional. Select Service Provider from drop down list if searching for templates that contain a service for specified Service Provider. Note: The Service Provider as well as the Case Service Description may be selected from a Vendor Service Search.
Case Service Description Optional. Select Case Service Description from drop down list if searching for templates that contain specified case service description. Note: The Case Service Description as well as the Service Provider may be selected from a Vendor Service Search.
Start Date of Service Optional. Enter Start Date of Service if search for templates that contain a service with specified Start Date of Service.

After information has been completed:

Click: OK

If there are any templates that match the information entered, the Identify/View Templates Window displays.

The Title Bar indicates the number of templates found that match the search criteria.

Templates Information includes the Template Name, Template Type, the individual (User ID) who last modified the template, the date the template was last modified, the individual (User ID) who created the template, and the date the template was created (use vertical scroll bar to view Date Created).

Use horizontal scroll bar to see templates that do not display on the screen.

To Apply a Template to the IPE Original, IPE Change or Non-IPE Service Worksheet:

Click: Template Name to highlight

Apply and View Command Buttons become enabled.

Determine if all service lines on the template should be applied all at once, or if the service lines should be applied one at a time. If all service lines are to be applied all at once, Apply Service Lines all at Once checkbox should remain checked. If service lines are to be applied one at a time, remove checkmark from Apply Service Lines all at Once checkbox by clicking on checkbox; this action removes the checkmark.

Apply Template with Apply Service Lines all at Once Checked

Click: Apply

A message "Template Transaction in Progress: displays. This means that the template information is being applied to the IPE Original, IPE Change or Non-IPE Service Worksheet.

After the template is applied, the Identify/View Templates window displays. Another template may be applied. Continue applying templates, as appropriate.

When finished, close the Identify/View Templates Window:

Click: X (upper hand corner of window)

The system returns to the IPE Original, IPE Change or Non-IPE Service Worksheet. Review information; information on the document may be changed, deleted and/or added.

Apply Template with Apply Service Lines all at Once Unchecked (one service line at a time)

Click: Apply

A message "Template Transaction in Progress: displays. This means that the template information is being applied to the IPE Original, IPE Change or Non-IPE Service Worksheet.

After the template is applied, the Identify/View Templates window displays. Another template may be applied. Continue applying templates, as appropriate.

When finished, close the Identify/View Templates Window:

The system returns to the IPE Original, IPE Change or Non-IPE Service Worksheet. Review information; information on the document may be changed, deleted and/or added.

Apply Template with Apply Service Lines all at Once Unchecked (one service line at a time)

Click: Apply

A message "Template Transaction in Progress" displays. This means that the template information is being applied to the IPE Original, IPE Change or Non-IPE Service Worksheet.

As the template information is applied, the system stops at the first line of service. Service line information displays on the screen. The system waits for a decision to be made, should the line of service be applied to the IPE, IPE Change or Non-IPE Service Worksheet or should the line of service be discarded.

Click: More Info to view detailed information on the Service Provider

Click: Discard so that the line of service will not be applied to the IPE, IPE Change or Non-IPE Service Worksheet.

Click: Apply to apply the line of service to the IPE, IPE Change or Non-IPE Service Worksheet.

If Discard is selected, the next line of service information displays on the screen. Again, the system waits for a decision to be made: should the line of service be discarded or applied.

If Apply is selected, the next line of service information displays on the screen and the Continue Command Button becomes enabled.

Click: Continue for the next service line to display.

Template Transaction in Progress message displays. The next line of service information displays on the Service Line Tab and the Discard and Apply Command Buttons become enabled. Continue with this process, until the entire template is applied and you are returned to the Identify/View Templates Window.

Apply another template, if appropriate. When finished with applying template(s), close Identify/View Template window.

Click: X (upper right hand corner of window)

The system returns to the IPE Original, IPE Change or Non-IPE Service Worksheet. Review information; information on the document may be changed, deleted and/or added.
