Written Plan for Trial Work Experience/Extended Evaluation (Written Plan for TWE/EE)

All individuals are presumed to be able to benefit from vocational rehabilitation services. In a situation where there is strong doubt that the person can benefit because of the severity of the disability, there must be further evaluation in Status 06 to obtain clear and convincing evidence that the individual cannot benefit. This would be considered Trial Work Experience or Extended Evaluation.

In order to place someone in Status 06:

  • The case must be in status 02 or 07.
  • Most Significant Disability must be documented in the Data Folder.
  • Status 06 Data Requirements must be recorded in the Data Folder.

With the case open:

1. On the Menu Bar

Click: Case Process

Point: Create Case Note

A Create Case Note Drop Down Box.

Click: Down Arrowhead to see the drop down list of case notes available. (Note that more titles can be seen by using the vertical scroll bar.)

Click: Written Plan for TWE/EE

Click: OK

2. The Written Plan for TWE/EE window displays.

The Written Plan for TWE/EE screen includes:

Date Enter: Trial Work/Extended Evaluation Date
Required - defaults to today's date
Final Check Box Disabled. Automatically checked when the case note is finalized.


Four horizontal tabs appear across the top:

  • Basis for Trial Work Experience/Extended Evaluation (Need TWE/EE)
  • TWE/EE Services (TWE/EE Serv)
  • Impact of Services on Eligibility Determination (Impact on Elig)
  • Impairment (Impairment)
  • Functional Limitations/Impediments to Employment (Limitation)
  • Services Required (Srv Requir)
  • Service Duration (Srv Duratn)
  • Significant Disability Determination (SD Deter)
  • Impact on Financial Benefits (Finan Ben)
  • Rehabilitation Technology (Rehab Tech)

Any tab highlighted in blue is required in order to finalize the case note. Tabs that are not highlighted are optional.

When a tab is selected (Click), the full name appears immediately below the tab. (Example: Basis for Trial Work Experience/Extended Evaluation).

Below that, a prompt or cue card appears to identify the documentation requirements. (Example: Describe the need for Trial Work Experience/Extended Evaluation. Enter the specific questions regarding the individual's functional capacity that this trial work experience/extended evaluation will answer.)

The information that is entered in the Tab fields will be entered onto the Case Note and saved as Header text.

Tool Bar The Tool Bar has drop down fields to change the font and point size. It also has buttons for Bold, Italics, Underline, Strikethrough, Left Align, Center, Right Align, and Justify.
Text Area Click identified tab to enter information
Authored by Defaults to the Primary Administrator (this can be changed from a drop down list of authors).

3. Enter Case Note Text

Click: Tab

Enter: Documentation, as required. (See Cue Card)

Enter free text, or

Apply Standard Language Phrases via the Push Pin icon in the Tool Bar:

Continue until Tabs are completed, as appropriate.

4. Saving

The Written Plan for TWE/EE can be saved as a Draft document at any time:

Save as a Draft:

Click: Save icon, or File, Save, or

Press: Ctrl-S

The Draft will be entered, with Written Plan for TWE/EE date, in the Tree View.

At any time you wish to display the Written Plan for Trial Work Experience/Extended Evaluation to edit the draft:

Click: Plus (+) sign to the left of Case Note Category in the Tree View

The plus will change to a minus sign. A list of any draft or finalized Case Notes will display.

Click: Plus (+) sign to the left of Written Plan for Trial Work Experience/Extended Evaluation

Click: Draft date you wish to open

Note: If you cannot see a full description of an item in the Tree View, point your cursor at the item and a full description will display (Example: 05/04/2010 Draft).

The identified draft Written Plan for Trial Work will display for review/editing.

5. Prior to finalizing the Written Plan TWE/EE:

Most Significant Disability must be documented in the Data Folder. Status 06 data requirements must be recorded:

  • Primary Impairment
  • Significance of Disability
  • Date of Birth
  • Gender
  • Highest Education at Application
  • Living Arrangement at Application
  • Medical Insurance at Application
  • Primary Source of Support at Application
  • Referral Source Type
  • Received Special Ed/IEP Services
  • Veteran Status
  • Weekly Earnings at Application
  • Weekly Hours at Application
  • Work Status at Application

6. To Finalize the Written Plan for TWE/EE:

Click: File (while in Written Plan for TWE/EE)

Click: Finalize

or click Finalize icon.

Note: If you do not fill in optional headers, you will get message 004250. If there is missing data, you will get Error 004220.

Get Status Change Window

  • Current Status: 02 or 07
    Effective Date: The date the 02 or 07 was made effective. Description of 02: Applicant (for example)
  • Next Status: 06
    Effective Date: The Status 06 Effective Date is taken from the Case Note Date. It can be edited, but must be on or after the Status 02 or Status 07 date and on or before today's date (If the Effective Date is edited, the Written Plan for TWE/EE date will be changed to comply with the Status 06 Effective Date).
    Description of 06: Written Plan for Trial Work Experience/Extended Evaluation
  • Reason for Closure: The field is disabled (not a closure status)
  • Reminders: Reminders appear only if appropriate

Click: OK to go into Status 06, or

Click: Cancel to cancel the status change

When finalized, the Case Status will change from 02 or 07 to 06 in the Title Bar.

The Print Documents screen appears, and the Status 06 Case Note (CN06) will be automatically assembled to print.

The finalized Written Plan for TWE/EE will appear in the Tree View, under Case Note Category/Written Plan for TWE/EE, as Final.

7. Errors

If required items or documents are missing, a notification or error message will appear:

Blank Headers

Blank headers may or may not be mandatory. Messages appear depending on the type of header that is not completed:

004053: Case Note Detail Text is blank for mandatory headers. This error message indicates that information has not been entered into one or more of the mandatory headers (highlighted in blue). The Case Note cannot be finalized until information is entered.
004250: There are blank headers - continuing will delete them.

This message reminds you that there is no information in an optional header (not highlighted in blue).

Click: OK to continue without completing the optional headers.

Click: Cancel to return to the Written Plan for TWE/EE Case Note screen.

Required Data Missing

004220: Prompt for Required 
Missing Data.

If you attempt to Finalize a Written Plan for TWE/EE, and required data for Status
06 is missing, you will receive this error message.

Click: No to cancel out of Finalize and return to the Case Note screen.

Click: Yes to identify missing data in the Data Folder.

Once missing data is completed, the Status Change Form appears when you Finalize. If there is a missing document, you will be prompted at this time.
